How to Apply for an Apartment Online (Step by Step)
The short answer
Most apartment applications are now submitted online. Here is how the process works, what to upload, and how to give yourself the best chance of approval.
How to Apply for an Apartment Online
Most rental applications are now fully digital. Here is how the typical online application process works — and how to maximize your chances of approval.
The Standard Online Application Platforms
Most landlords and property managers use one of these platforms:
- Zillow Rental Manager — commonly used by individual landlords
- Apartments.com / CoStar — used by both individual and property management
- RentSpree — widely used by real estate agents and individual landlords
- Yardi (multiple brands) — common in mid-to-large property management
- AppFolio — common in smaller property management companies
- Buildium — similar to AppFolio
Large apartment complexes often have their own portals through their property management software.
What Online Applications Typically Ask For
Personal information:
- Full legal name
- Date of birth
- Social Security Number (for credit/background check)
- Current and previous addresses (usually 3-5 years)
- Phone number and email
Employment and income:
- Current employer name, address, and phone
- Position and start date
- Monthly gross income
- Previous employment (if less than 2 years at current job)
Rental history:
- Previous landlord names, addresses, and phone numbers
- Dates of tenancy at each address
- Reason for leaving
References:
- 2-3 personal or professional references (name, relationship, contact info)
Pets:
- Type, breed, weight, age of each pet
Other:
- Bankruptcy or eviction history (self-disclosure)
- Criminal history (self-disclosure, varies by jurisdiction)
Documents to Have Ready to Upload
Most platforms allow you to upload documents during the application:
- [ ] Government-issued photo ID (driver's license or passport)
- [ ] Pay stubs (last 2-3)
- [ ] Bank statement (last 1-2 months, showing deposits and balance)
- [ ] Offer letter (if recently changed jobs)
- [ ] Tax returns (if self-employed — last 2 years)
- [ ] Proof of renter's insurance (if required upfront)
Scan or photograph these clearly before starting your application. Blurry uploads slow the process.
The Credit/Background Check Consent
Every application will include a consent form for credit and background checks. Approving this is required to proceed.
What it means: The landlord will pull a credit report (usually a hard inquiry), check criminal history, and check eviction records. This is standard.
Tip: Know your credit score and check your own background report before applying. No surprises.
Application Fees
Most online applications charge $25-75 to cover credit/background check costs. This fee is almost always non-refundable, even if you are declined.
Budget $50 per application if you are applying to multiple units.
Limit applications to your top choices. Applying to 10 units costs $500 in fees. Apply strategically.
After You Submit
Typical timeline:
- 1-3 hours: Automated screening flags or approves
- 1-3 days: Landlord reviews, calls references
- 3-5 days: Decision communicated
If you have not heard back in 5-7 days, it is appropriate to send a brief follow-up email.
If You Are Declined
Under the FCRA, if you are declined based on a screening report, the landlord must provide:
- The name and contact info of the screening company used
- A statement of your right to get a free copy of the report from that company
Request the report and review it for errors. Dispute inaccuracies.
